Who we are
FeedSheriff is an inbox cleanup tool at feedsheriff.com. This policy explains what we collect when you create an account, connect a mailbox, and run cleanups.

What we collect
- Account. Your email, and if you continue with Google, your name and profile photo, plus a unique account id. You can also create an account with email and a password.
- Mailboxes. The address of each mailbox you connect, which provider it uses (Gmail, Outlook, or Zoho Mail), and the tokens we need to act on that mailbox on your behalf. If your paid plan ends, we drop those tokens at our mailbox connector within a day. Your filters stay until you reconnect or delete your account.
- Filters and reviews. The cleanup rules you write, optional settings such as reading message bodies, and the keep/toss decisions you make in review.
- Cleanup history. For mail we trash or archive, we store sender, subject, category, confidence, and enough label state to undo the action. We keep up to the last 20 cleanups per mailbox.
- Agent keys. If you create an API key for Cursor or another agent, we store a hash of that key, its name, scopes, and last-used time. The full key is shown once. ChatGPT, Claude, VS Code, and similar clients can use OAuth instead; those apps get short-lived tokens. Agent traffic can start cleanups if you grant that scope.
- Billing. Plan, renewal date, and payment customer ids from our payment processor. We do not store full card numbers.
- Product analytics. Pages you visit, your account id, and actions such as signing in, connecting a mailbox, starting a cleanup, or opening checkout. We do not send mail content or record your screen.
- Google Analytics and Ads measurement. Page views, the page you arrived from, and whether a visit ended in a subscription (plan and amount, no mail content).
- X Ads measurement. Page views and whether a visit ended in a subscription (plan and amount, no mail content).
- Support chat. Messages you send in the in-app widget, plus the name and email on your account so we can reply.
How we use your mail
We read sender, subject, labels, and (only if you turn it on for a filter) message body so we can match your rules and suggest what to keep or toss. Starred and important mail is left alone. We do not sell your mail, and we do not use it to train public models.
When an AI filter runs, we send the rule plus the sender, subject, and optional body to our AI provider so it can judge whether the mail matches. That content is used to answer your request, not to build a marketing profile.
Who processes data for us
- Firebase for Google and email sign-in.
- Cloudflare to host the app and store account data.
- Composio to connect Gmail, Outlook, and Zoho Mail.
- OpenRouter to run AI filter judgments.
- Resend to send welcome and cleanup-done emails to your account address.
- Dodo Payments to charge subscriptions.
- Google (Analytics and Ads) and X to measure which campaigns lead to subscriptions.
- PostHog to understand how the product is used, and to run in-app support chat. That includes page views, signed-in account id, the product actions above, and messages you send in the support widget. Mail bodies, subjects, and session recordings are not sent.
Those providers only get what they need to do that job.
How long we keep it
Account, mailbox, and filter data stays until you delete it or close the account. We keep timestamps and undo details for up to the last 20 cleanups per mailbox. Billing records may be kept as long as the law requires.
Your choices
- Disconnect a mailbox at any time. That stops new access and removes that mailbox from FeedSheriff.
- If you stop paying, we disconnect the mailbox from our mail provider the next day. Cleanup history past the last 20 runs is dropped; daily totals stay for about 90 days.
- Welcome and cleanup reports go to your account email. Those are on by default; turn them off by emailing sarthak@feedsheriff.com if you need them stopped.
- Delete your account in the app. That removes your FeedSheriff data, connected mailboxes, and agent keys.
- Email sarthak@feedsheriff.com if you need a copy of your data or help deleting it.
Changes
If this policy changes in a material way, we will update the date above and post the new version here.
